Who this policy covers
Subnex IT operates subnexit.com as an AI automation consultancy website. This policy explains how we handle information from visitors, people making project inquiries, and contacts who communicate with us. Client automation projects may have additional data-processing terms in their written agreements.
Information we receive
When you request an automation review, the form asks for your name, email address, service focus, and workflow description. Phone number and company name are optional. We also receive information you choose to share by email or WhatsApp.
Our hosting systems may record technical information such as IP addresses, requested pages, timestamps, browser details, and errors for security and reliability. We briefly process IP addresses to limit abusive form submissions. Please do not submit passwords, API keys, payment details, or sensitive customer records in an inquiry.
Why we use your information
We use inquiry details to respond, clarify requirements, assess project fit, prepare proposals, and keep a record of relevant communications. Technical information helps us maintain the website, investigate faults, and prevent misuse.
Where applicable data-protection law requires a lawful basis, the relevant basis depends on the activity: steps you request before entering a contract, performance of an agreed service, legitimate interests in secure business operations, consent where required, or a legal obligation. We do not sell personal information or use inquiry submissions to make automated decisions with legal or similarly significant effects.
Retention and archived records
We keep inquiry information while it remains relevant to follow-up, an active engagement, record-keeping, dispute resolution, or applicable legal duties. We assess retention using the purpose of collection, the status of the relationship, the sensitivity of the information, and any legal requirements; we do not promise a single fixed period for every record.
Records from the previous version of the website are preserved in a restricted historical archive. They are not available through public website routes and are not used as a public customer directory. A deletion request may also require review of relevant archives and backups; copies that must remain for legal reasons or recovery are restricted from ordinary use.
Security and client automation data
We use measures including restricted administrator access, server-side authorization, input validation, encrypted website transport, and database access controls. No internet service can guarantee absolute security.
The contact form stores your inquiry; it does not automatically send the text to an AI model. Access to business systems, AI providers, approved knowledge sources, retention, and human-review boundaries for a client automation are agreed separately before that processing is introduced.
Your requests and choices
Contact hello@subnexit.com to ask about your information, request access or correction, or request deletion. Depending on the law that applies to you, you may also have rights to object, restrict processing, receive a portable copy, withdraw consent, or complain to an appropriate regulator.
We may ask for enough information to verify a request and protect other people’s data. Some information may need to be retained to meet contractual or legal requirements. We explain relevant limitations when responding. This site is intended for business inquiries; please do not knowingly submit personal data relating to children.
Updates and privacy contact
We update this policy when website practices materially change and display the current revision date above. For privacy questions or requests, email hello@subnexit.com and identify the communication or inquiry concerned. Avoid including unnecessary sensitive information in the request.
